Dear BHPC members,
Our End of Year Break-up during which the pony club will have its AGM and Trophy Presentation will take place on Sunday 24th November 2019 in the Brookfield Hall from 4pm – 8pm.
At our End of Year Break up Party, every junior riding member of our pony club receives a Participation Trophy. Encouragement, Improvement & Competition Trophies are also awarded, as well as Loyalty awards for attendance and membership. Prizes will also be given for the completion of the worksheets that have been sent out during the year. The Alan Haycraft Trophy will also be presented. This is awarded to a member of our club who has given outstanding assistance to the club over the year, in any capacity.
After the AGM and trophy presentations, we will have a social get together to celebrate another successful pony club year. Pizza and deserts are being provided free of charge to our members and families for their continual hard work and support throughout the year and we would love to see you all there. BYO alcohol. Sophie Weitemeyer will be in touch with you all shortly as to how to RSVP for catering purposes.
Please take the time to think about whether you can spare the time to nominate for a committee or office bearer position in 2020. Under our rules all positions become vacant at each AGM and new committee members and office bearers are elected. Nominations for these positions may be made on the nomination form which is also attached, as is a proxy form for those who would like to vote but will not be present on the day. You can authorise another financial member to be your proxy in any votes that may be taken at the AGM.

The 2018 AGM minutes and various forms have been e-mailed to you directly. Please note that any committee nomination forms and motions need to reach the secretary Ros MacDonald firstname.lastname@example.org by 16th November so they can be included on the agenda.
Please arrive in time for a 4pm start at the Brookfield Hall. The AGM cannot get underway until we have sufficient voting members in attendance to form a quorum.
